School PoliciesTuition Payment Mode (for new students enrolled in 2019) All monthly installment fees must be set up by a pre-authorized debit or credit card payment at the time of registration. Tuition will be debited from your bank account or charged to your credit card by the 1st day of each month. Accounts will be debited on a monthly basis at the posted rates. Tuition automatically renews at the prevailing rates for subsequent academic years unless notice is given according to the "Changes & Notice" section. Returned ChecksA $25 fee will be charged on all returned checks. Late FeesA $25 fee is applied when payment is not received before the 8th of the month: Student loses discount privileges for that period of payment - i.e. sibling discount or multi-class discount does not apply. We reserve the right, at our discretion, to dismiss any student whose tuition account is in arrears. Refunds Refunds are not issued under any circumstances; makeup classes need to be scheduled before their expiry date of 12 weeks from the original date of the missed lesson. Early Cancel/Makeup: A student is allowed one early cancelation in a month provided they submit an early cancelation form (https://www.almadenschool.com/early-cancel.html) by 8pm the day before the scheduled class. Once the school receives this online form submission the slot is freed up for the teacher for that specific day. This missed lesson will be treated as an early cancel and the associated makeup lesson will need to be rescheduled within 12 weeks of its original scheduled date after which it will expire and cannot be claimed. Early Cancels may NOT be used as tuition credit. Sick/Family emergency Leave: If a student misses a class due to sickness or a family emergency situation (i.e. student is unwell, someone in the family is unwell, etc.) they are granted one such leave per month with minimal notice; this will be treated as an absent excused and the associated makeup lesson will need to be scheduled within 12 weeks and will expire after that. An online sick leave form has to be submitted (https://www.almadenschool.com/sick-notice.html). The School may require you to produce a doctor’s note in order to be eligible for a makeup lesson. This is to ensure this sick policy is not misused and to be fair to the teacher who has reserved that time slot for the student. Sick leaves may NOT be used as tuition credit. Makeup Lessons It is the student’s responsibility to schedule a makeup lesson by accommodating a time slot when the teacher has availability during this 12 week period, i.e. if there are time slots when the teacher is available and none work for the student then it is not the responsibility of the school or the teacher if this excused absence lesson expires after 12 weeks. If the regular assigned teacher does not have available time slots within the 12 week period then the school may be able to provide a substitute teacher to fulfill those makeup lessons within the 12 weeks. Once a makeup session is scheduled it does not qualify for an early cancelation. Therefore if a student cannot attend the makeup lesson they will forfeit it if he/she does not show up. This is because the teacher would have made herself available for the regular class and again for the makeup class. The first makeup is offered as a courtesy for the student. Any further cancelation of the already scheduled makeup lesson will result in a loss of use of that time slot for the teacher as the teacher could have accommodated another student in that time slot. Teacher Substitution A substitute teacher may be provided when a teacher is ill or on vacation in order to keep the class momentum. If the school cannot arrange a substitute, any missed lessons will be made up. The school reserves the right to replace an instructor with a new qualified instructor in the event an instructor is no longer with the Academy, unavailable at a student's desired lesson time, or for any other reason. Tuition Credit The only time a student can claim tuition credit is when a teacher is absent for a class. Tuition credit is calculated using the formula here Vacation Policy Vacation is defined as a series of excused and unbilled absences. Vacation time can only be scheduled during the summer (June, July and August) and winter (December). Two weeks’ notice must be provided by submitting the online vacation form (https://www.almadenschool.com/vacation-notice.html) so that the teacher can plan to fill the gap in their schedule. If the 2 weeks’ notice is not provided, the missed lessons will be marked as “no show” and will not be eligible for makeups. Students cannot take an unpaid break in any other month because the teacher has already blocked those times for the current student and cannot be made available for someone else just for that short period of absence. Exception is provided for students attending high school; i.e. they may be allowed to take a break anytime during the year provided they provide a 2 week online vacation notice. Discounts Please refer to our website for current specials: https://www.almadenschool.com/specials.html Dropping Class The school must be informed by the 15th of the month so that you will not be charged for the following month. A drop form must be submitted online (https://www.almadenschool.com/drop-notice.html) by the 15th of the month. Any pending makeup lessons at the time of withdrawal will be forfeited. They do not convert to credit. Changes and Notice The School reserves the right to make changes to these policies and procedures at its discretion. Students will be given 30 days' advance written notice (via email on record) of any changes. Except as may be modified by the School, these Policies and Procedures shall be applicable so long as the student is enrolled. Care of Students The school is not responsible for providing before or after class care for students. Parents with students under the age of 5 are asked to remain in the school during the classes. Students are not to be left at the school for excessive time before or after lessons. Photo and Video Release The school is hereby granted permission to take photographs or video of the students for use in our brochures, Web sites, social media pages (e.g. Facebook, Instagram, Twitter, etc.), posters, advertisements, and other promotional materials the School may create.
